There are 3 crucial must-have features in any efficient time off management process.

  1. You (and your entire team) need an easy way to see who is off. This means some sort of calendar that you can easily share between co-workers and departments.
  2. You need accurate annual leave balances. This helps you manage your team’s time off (and reconcile things like payroll) but also helps your team plan their holidays/leave throughout the year.
  3. You need an easy way to manage — and respond to — new time off requests. You don’t want to rely on text messages, emails, and notes left on a desk. Those things are easily overlooked, which means frustrated team members.

But how do you put these must-have features into practice?

Two common ways are using Excel templates and full-blown HR software. But Excel templates aren’t efficient because they require too much manual work, and HR software isn’t much better because it’s overkill if you just want to improve how you track time off. Must-have #1: An up-to-date shared time off calendar

You want an easy-to-access (and always up-to-date) time off calendar that tells you:

  • When someone is off
  • Why they’re off
  • When they’re back in

You also want to be able to share this calendar with your team easily.

But if you’re using an Excel template — or a shared work calendar out of something like Google Calendar — you’re stuck updating the calendar every time someone takes time off.  That’s a major time waster and can lead to a bunch of errors, such as marking someone off for the wrong dates or deducting the wrong amount from their leave balance.

HR software will do the job, but it is often overkill in the functionality it has, meaning:

  1. It’s too expensive, and;
  2. It’s a pain to use because you have to deal with features you don’t need (like performance management and recruiting and onboarding).

How you can easily respond to new time off requests

You can get new time off requests sent to you directly via Slack, Microsoft Teams, or email. You can also log into your account to see any pending requests you may have overlooked.

It tells you who requested it, how long they’re going to be away, plus any notes they’ve added. You can then easily approve or decline the request.

You don’t need to worry about whether or not your employee has enough holiday leave left on the books, because Timetastic won’t let them request paid holiday leave if they’re out of time for the year. No more manual calculations or complex Excel formulas.

You can also set it up so Timetastic won’t let people request time off if too many people are already out for the day or on specific dates.

This is called setting maximum absence levels and locking key dates.

You can set maximum absence levels for specific departments or across the entire company. Basically, this tells Timetastic the maximum number of people who can be out of work on a given day.

So if you have it set so no more than one team member can be off on any given day, and a second person tries to request that day off, they’ll see this update from Timetastic:

Sure? This takes you over the maximum absence limit of one.

You can also lock dates. A locked date is a date where you don’t want people taking it off. You can lock dates by the individual, department, or across the entire team.
