How to use the template

Once you've downloaded the monthly rota template, add your team's names and hourly rates, then fill in their shifts for each day of the month.

Set the first day of the month at the top and the dates fill in for you. You can also set which day the week starts on. Make sure the shift times match your contracts, and keep an eye on the totals and labour costs the sheet works out as you go.

What's the difference between a monthly rota and a shift pattern?

A shift pattern is the repeating rule for how shifts rotate, for example four days on then four off, or a weekly early/late/night cycle. A monthly rota is the actual schedule for a specific month, showing which named person works which shift on which date. In practice you use a shift pattern as the underlying logic, then apply it to a monthly rota to produce the real schedule your team works from.
