An employee forgot to clock in. Do I still have to pay them?

Yes. In the US, the FLSA requires you to pay for all hours worked, whether or not the timecard shows them. UK law works the same way: the record error doesn't erase the work. What you can do is fix the pattern. Timetastic's Rota and Time Clock app reminds employees to log their hours when their shift starts, flags missed time entry to the manager the same day, and lets the employee submit the correction themselves, so you're approving a fix instead of reconstructing a Tuesday from memory two weeks later.

Is it legal to use GPS when employees clock in?

Yes, when it's disclosed, consented to, and limited to working hours. That's the standard across US states and under UK GDPR alike. Timetastic's Rota and Time Clock platform is built inside those lines: location is confirmed at the moment of the clocking-in, not tracked through the day, and employees can see exactly what's recorded. Your team isn't being followed. The time logged and place is being verified. That difference is what makes staff accept it.

Is clocking in and out a legal requirement in the UK?

Keeping accurate records of working hours is. The Working Time Regulations 1998 require employers to show staff aren't exceeding the 48-hour weekly average (unless they've opted out), records must be kept for at least two years, and HMRC can fine up to 200% of underpayments if your records can't prove minimum wage compliance. How you keep those records is up to you. A clocking in app produces them automatically, timestamped and audit-ready, which is a stronger position in a tribunal than a signed paper sheet.

Can an app really replace our clocking in machine?

Yes, and you skip the machine. A wall-mounted clocking in machine costs money up front, holds the data hostage in the box, and someone still retypes everything into payroll.
